Information Collection and Use

Oakmere Homes collects lists of data including personal information with the purpose of delivering permission-based email campaigns to those lists, which are held on our servers.

Our hosted application works in concert with this privacy policy to ensure that no sharing or disclosure of list data including personal information can occur between users or to third parties. We are legally required to maintain the privacy and integrity of their campaign data to include all personal information, tracking data and analytical data.

Cookies & Other Tracking Technologies

Our Web pages utilise “cookies” and other tracking technologies such as a single pixel gif. Oakmere Homes use single-pixel gif images, to count web page accesses and gather some general statistical information such as if an email has been opened or read. Collected information is tied to the user’s personally identifiable information to provide offers and improve the content of the site for the user by the client. This profile is used to tailor a user’s visit to our website, and to direct pertinent marketing promotions to them. We do not share these profiles or details of any information gathered with any third parties.

Use of AI Tools for Business Communications and Data Management

Oakmere Homes uses secure Artificial Intelligence (AI) tools to support day-to-day business operations, including internal communications, report preparation, and customer service management. These tools are used to improve accuracy, efficiency, and consistency in the way we manage information.

We currently use Microsoft Copilot (within our Microsoft 365 environment) and OpenAI’s ChatGPT Business Plan. Both are used in accordance with UK data protection law and Oakmere Homes’ internal Data Protection Impact Assessment and AI Usage Policy.

Any personal data processed by these systems is handled securely and lawfully. Oakmere Homes ensures that:

  • AI tools are used only for legitimate business purposes;
  • Data entered into these systems is limited to what is necessary and, where possible, anonymised;
  • Information processed through AI systems is not used for model training or profiling;
  • All AI providers used by Oakmere Homes (including Microsoft and OpenAI) act as data processors under strict contractual and technical safeguards compliant with the UK GDPR;
  • Data remains stored within secure environments such as Microsoft 365 and is not shared externally without a lawful basis.

AI is used as a support tool, not to make automated decisions about individuals. All outputs are reviewed by Oakmere Homes staff before being used for any official purpose. Confidentiality and Security

We also will not use, rent, sell, transfer, or otherwise expose the contents of the tracking information resulting from click through, message opened, message read, or e-commerce conversions. We utilise an SSL encrypted, password-protected mechanism for viewing and extracting customer data. We maintain all customer data in a secure facility protected by firewalls and other security devices.

Unsolicited Commercial Email (SPAM)

Oakmere Homes is committed to providing a permission-based model for email marketing. To that end we implement a strict anti-spam policy. We endeavour to ensure we do not send any unsolicited material to recipients who have not expressed their permission to receive communications from us.

Additionally, Oakmere Homes will only use the information for lawful purposes and will not violate any UK or international laws.

These policies are part of our broader reaching Acceptable Use Policy that each of we are legally bound.

Changes to this Privacy Policy

If we decide to change our privacy policy, we will post those changes to this privacy statement, the homepage, and other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.
